Queenscliff and Coastal Holiday Bookings – Terms & Conditions

Thank you for choosing Queenscliff & Coastal Holiday Bookings (QCHB).

Each home is privately owned, and we manage bookings on behalf of the owners to ensure you enjoy a comfortable and memorable stay.

By booking directly with QCHB or through a third-party site, you agree to the following Terms & Conditions and the property’s House Rules.

1. GENERAL INFORMATION

  • Please read these Terms carefully before booking.
  • QCHB may update Terms & Conditions at any time. The latest version will always be available on our website.
  • The person making the booking accepts these terms on behalf of all guests staying.
  • All homes are described accurately based on owner information, but minor variations may occur.
  • Properties are for holiday use only – no parties, functions, or events.
  • QCHB staff or representatives may access the property for urgent repairs, maintenance, or to ensure compliance with these Terms.

2. PAYMENTS

  • Deposit: 50% of the total booking is required within 48 hours of booking.
  • Balance: Due 61 days before arrival.
  • Last-minute bookings (within 28 days): Full payment is required when booking.
  • Payment methods: Visa/Mastercard (1.5% surcharge) or AMEX (3% surcharge). EFT available on request – funds must clear before arrival.
  • All prices are in AUD and include GST unless stated otherwise.

3. CANCELLATIONS – GUEST

PEAK Cancellation Policy-

  • Bookings during peak periods are non-refundable, If we are able to re-book the property for the same dates, you will receive: A full refund of monies paid less a Booking fee $110 and any card fees.
  • Peak Season includes: (Queenscliff Hot Rod Weekend,Labour Day Weekend, Easter, King’s Birthday Weekend, September School Holidays, Melbourne Cup Weekend, Queenscliff Music Festival, Summer generally mid-December through to the end of January.)

Off-Peak Cancellation Policy

  • Plans change we get it. Here’s how it works in off-peak times:
  • More than 7 days’ notice before arrival:
    • You’ll receive a full refund
    • Less the Booking Fee $110 and any credit card fees
  • Within 7 days of arrival:
    • Bookings are non-refundable if we’re unable to re-book the same dates
    • In some cases, a Date change may be offered
    • This is at the owner’s discretion
  • Date changes may be possible in off-peak periods, subject to owner approval.
  • We recommend travel insurance to cover unforeseen events.

4. CANCELLATIONS – QCHB OR OWNER

  • If the property becomes unavailable (e.g., fire, sale, damage), you’ll be notified immediately.
  • We’ll offer an alternative property where possible.
  • If a replacement can’t be found, you’ll receive a full refund of all monies paid.
  • QCHB and owners are not responsible for additional costs or compensation.

5. ARRIVAL & DEPARTURE

  • Check-in: From 3:00 PM
  • Check-out: By 10:00 AM
  • Early check-in (from 11:00 AM) or late check-out (until 1:00 PM) may be arranged for $60 (subject to availability).
  • Keys must be returned to the key safe at 62 Hesse Street, Queenscliff.
  • After-hours call-outs (lockouts, lost keys): $150 fee.
  • Lost keys or unreturned keys: $150 per set.

6. HOUSE RULES

  • Only registered guests listed on your booking may stay overnight.
  • No parties, events, or excessive noise. Quiet hours after 10:00 PM.
  • The property must be left clean and tidy:
    • Dishes washed and put away
    • Rubbish removed and bins placed out if applicable
    • BBQ cleaned (or $65 fee applies)
  • Pets allowed only in approved homes– must be confirmed before arrival.
    • Clean up after pets and keep them off furniture and beds.
  • No smoking indoors – $250 cleaning fee applies.
  • Minimum booking age: 25 years.

7. LINEN

Some homes do not include linen. Hire options:

  • $65 per bed: Linen pack delivered and ready on arrival
  • $85 per bed: Linen pack with full bed-making service
    Each pack includes:
    • Bed sheets, pillowcases, bath towels, hand towels, face washers, and bathmats.
    • Please request at least one week before arrival.

8. DAMAGE & LOST ITEMS

  • Guests are responsible for all damage, loss, or breakages during their stay.
  • Please report any damage or issues before departure:

  • Charges may be deducted from your bond or card on file.
  • QCHB is not responsible for lost or stolen personal items.
  • Lost property can be returned at guest’s expense plus a $45 handling fee.

9. LIABILITY

  • Use of the property and its facilities is at your own risk.
  • QCHB and the owners are not liable for injury, accident, or loss of personal property during your stay.
  • Guests agree to indemnify QCHB and the property owner for any damage or loss resulting from their actions.

10. ISSUES DURING YOUR STAY

  • Please contact us immediately if something isn’t right — we’ll do our best to fix it quickly.
  • Allow reasonable access for repairs or maintenance during your stay.
  • Complaints not raised during the stay may not be considered after departure.

11. CHECK-OUT RESPONSIBILITIES

Before you leave:

  • Close and lock all windows and doors.
  • Return keys to the key safe.
  • Remove all rubbish and food items.
  • Leave BBQ clean.
  • No smoking inside – $250 fee applies.
  • No illegal drugs or underage drinking – will be reported to police.
